Privacy policy

This policy explains what personal data Vasundhara Nature Studio ("we") collects through this website, why, and the choices you have. It is written for India's Digital Personal Data Protection Act, 2023.

What we collect

• Account details: your name, email address, mobile number and password. Your password is stored only as a secure hash — we can't see it.
• Addresses you save for delivery or doorstep visits.
• Orders: what you ordered, prices at the time, delivery or pickup, and any note you add. A copy of your contact details and delivery address is kept with each order.
• Service requests: the service, dates, visit address and the notes you give us about your tank.
• Reviews you write: your star rating and words, shown on the site with your first name and last initial once we've checked them. You can edit or delete them any time.
• Showcase ("Our work"): if you agree, photos of a tank we built or look after for you, your name as you want it shown, and your quote. We publish these only after you've told us yes.
• Tank plans: the answers you give the tank planner, the plans it writes, the changes you ask for, and — if you send a plan to the studio — your note, a copy of your contact details and the address for the tank, our concept picture and our quotation.
• Maintenance plans: the plan you ask for, the visit address, your notes, the tank you attach, the price we agree, and a log of each visit with what we did. A copy of your contact details is kept with the plan.
• Saved products and alerts: the products you save, and the kinds of new arrivals you ask to hear about. We email you when a saved product is back in stock, and about new arrivals only if you switch that on. If you press “Notify me” on a part of the shop that isn't open yet, we keep that request and send you one email when it opens.
• Likes you give to ideas in the gallery.
• My tanks: the tanks you add — name, volume, set-up date, what lives in them, your notes and your care reminders. Only you can see these; our staff see a tank's details only if you attach it to a service request.

We don't use advertising or analytics trackers. The site uses one essential cookie to keep you logged in, and your browser stores your cart on your own device.

Why we use it

To create and secure your account; to process your orders and service requests; to call or email you to confirm them; to deliver to you or schedule a visit; to send account emails such as email verification and password reset; and to keep the business records we need.

We don't sell your data or share it for marketing. We share it only with services that help us run the site — our email provider, which sends account and order emails — and where the law requires it.

Help requests and complaints

If you raise a request from your account, we keep what you wrote, the order or service request you linked, and our replies, so the conversation stays available to you and to us. Staff who handle requests can see your name, phone number and email with it. WhatsApp and phone conversations happen outside this website, under those services' own terms. Your requests are deleted if you delete your account.

Counting visits

We count page views ourselves to see which pages and products people look at. We don't use Google Analytics or any other tracking service, and we set no cookie for this. To count different visitors in a day we keep a scrambled code made from the date, your internet address and your browser's name; it changes every day, can't be turned back into you, and is deleted within two days. We keep only daily totals per page, the website you came from, and words typed into the shop search. If your browser sends "Do Not Track" or Global Privacy Control, we don't count your visits at all.

"Ask Vasu" chat

Vasu is our AI guide, not a person. The "Ask Vasu" chat is answered by an AI service (Groq, Google Gemini or OpenRouter, whichever is available). What you type in the chat is sent to that service to produce the answer, and may be kept by it under its own terms — some use free-tier conversations to improve their products. We don't send your name, email or contact details with it — but if you're logged in and have saved tanks in My tanks, their names, sizes and livestock are sent too, so the answer fits your tank. We don't store the conversation ourselves: it stays in your browser tab until you close it or tap Clear. Please don't type personal details into the chat. To limit misuse we keep only a count of questions per account or internet address for two days.

Tank planner

"Help me choose" in the same panel works the same way: what you type, what you say you are shopping for, your tank's size, the fish you say you already keep and your price range are sent to that service so it can pick from our shop. If you choose "Use my tank", that tank's size and what lives in it are sent too — never your name or contact details. "Check my cart" does not use AI. We keep a note of what people ask shopping help for — the message, the tank size and the price range, without your name, account or address — for up to six months, so we know what to stock. The tank you describe is remembered in your own browser so you aren't asked again.

Tank plans are written by the same AI services as the chat. Your answers in the planner and the changes you ask for are sent to that service to write the plan, and may be kept by it under its own terms. We don't send your name, email, phone or address with them. Please don't put personal details in the planner's text boxes. Unlike the chat, your plans are saved in your account so you can come back to them.

• Sending a plan to the studio shares it with our staff together with your contact details and the address you choose, so we can prepare a picture and a quotation.
• A share link is off until you create one. Anyone who has the link can read that plan and sees your first name — not your contact details, address, notes or quotation. Turn it off any time and the link stops working.
• The Tank ideas gallery is public. A plan appears there only if you ask and we approve it, with your first name. You can take it out any time.

How long we keep it

Account details and saved addresses: until you delete your account. Tank plans: until you delete them or your account. Orders and service requests: as long as we need them for our business and legal records. When you delete your account, your name, email and phone are removed from your account, and your saved addresses and login are deleted.

Your choices and rights

• See and correct your details any time in Your account → Profile and Addresses.
• Delete your account in Your account → Profile. Pending orders and requests are cancelled, your name and quote are removed from any showcase of your tank, and your tank plans, their share links, your gallery ideas, your likes and your saved tanks are deleted.
• Withdraw consent for a showcase at any time — ask us and we'll take it down.
• Ask us a question or raise a concern about your data: phone 8830370838, or visit the studio. We'll reply as soon as we can.

Security

Passwords are hashed, pages are served over an encrypted connection, and access to customer data inside the shop is limited to staff who need it.

Changes

If we change this policy we'll update the date at the top of this page.
